In this role, you aren’t just scheduling appointments; you are ensuring that patients receive timely, life-changing care through seamless communication and efficient workflows

Your Role in the Patient Journey:
Orchestrate Surgical Care: You will take the lead in coordinating and scheduling procedures and surgical cases, meticulously ensuring that all required information is complete before a case is set

Be the Bridge: You will serve as the primary point of contact between Cooper and Inspira, facilitating communication and resolving scheduling hurdles to ensure continuity of care for every patient

Master of Coordination: You will support the surgical scheduling team by gathering all necessary documentation, orders, and clearances while assisting with the prior authorization process to keep care moving forward

Tech-Savvy Support: Utilizing multiple Electronic Medical Record (EMR) systems, you will verify patient data and track scheduling status across organizations to maintain a high standard of documentation

Administrative functions include: Scheduling meetings, coordinates programs, data management, payroll duties, composing, typing, organizing, maintaining and distributing documents and incoming/outgoing correspondence for Directors, handling confidential personnel and financial documents, assists Directors with daily operational functions.Acts as Human Resource liaison, maintains time and attendance, assists and coordinates calendar for Director, maintains expense accounts, coordinate IT requests for service, responsible for office supplies across the Department, monitor accounts payable, compiles data for reports and other duties as necessary.

 

Professional telephone etiquette and customer satisfaction in support of the mission of CUH.  Demonstrates Cooper Core Values and Service Standards. Utilizes Aidet in all interactions.
Schedules hospital outpatient-based surgical procedures and services, schedules preoperative and post-operative appointments; assembles all pre-operative paperwork, ensuring all tests and pertinent information is accurately collected following divisional, departmental, and/or operating room guidelines.  
Answer incoming calls, direct calls to the correct party, check voicemails, and return missed calls for scheduling requests. Direct liaison with patients and clinical staff, ambulatory partners, to communicate patient results and scheduling needs. Escalate operational, provider, or patient complaints along with other critical matters to leadership.  Utilizes Aidet at all times.
Responsible for the integrity of pre-registration to include accurate health care coverage(s). Knowledge of medical insurance and billing processes.  Submits accurate authorization requests and works with authorization team to resolve any issues pertaining to authorizations.  Handles denials, escalates to provider and coordinates peer to peer meetings as needed.  
Handles bump list as needed.  All scheduling protocols are followed, allowing sufficient appointment time with the appropriate provider. This includes patients being seen in a timely manner appropriate to their clinical symptoms.  Patient appointments/cancellations are scheduled appropriately.  Scrubs Provider appointment schedules for accuracy of scheduling.  Reports conflicts to Manager.
Provides secretarial support, including calendar management. Enter surgical procedures and ensure that surgical cases are recorded accurately and in the correct order on the Outlook calendar. Monitors OR schedule to ensure Outlook and Snapboard match.   Report any calendar conflicts to the manager for resolution. Schedules meetings as needed.
Attends all Team Huddles and Meetings.
All other duties assigned

Experience Required

2-3 years in medical or office setting Preferred
